Support VP of Communications & Image in daily operations of department. The Administrative Assistant performs a wide variety of administrative duties including calendar management, travel organization and meeting coordination.
Tasks and Responsibilities
> Maintains complex business calendars for the VP of Communications & Image, coordinates meetings, proactively brings together resources as needed
> Communicates directly with Executive Offices in Paris
> Uses judgment to make decisions the release of sensitive information to authorized parties
> Carries out administrative assignments accurately and in a timely manner as directed
> Monitor and capture press coverage in a timely manner and share with the appropriate teams in support of the press department.
> Orchestrates all logistics of international and domestic travel
> Prepares detailed itineraries and agendas regarding transportation, hotel accommodations for executive team and designated visitors
> Reconciles, tracks and approves expense reports and budget invoices as directed.
> 1-2 years of experience in administrative assistant capacity
> BA in Communications or related field
> Strong knowledge of Microsoft Office programs (ie; Outlook, Excel, PowerPoint, Word)
> Strong communication skills
> Exercise good judgment with a high level of maturity and discretion in interactions with executives and the public
> Ability to remain poised and professional at all times
> Ability to demonstrate tact and discretion in preparing, disclosing and handling information of a confidential, controversial and sensitive nature
> Ability to establish work priorities and remain flexible
> Ability to establish and maintain good working relationships with all levels of the organization and the public
> Strong time management skills and prioritization with the ability to work under specific timelines
