The Administrative Assistant, Global Marketing will support the Vice President of Global Marketing in addition to Marketing Directors with organizational and administrative duties. these include, but are not limited to, calendar and travel management, creating expense reports, organizing presentations and team meeting sand top-level, cross category project work. With a passion for the beauty industry, the Administrative Assistant to the VP Global Marketing should have a strong desire for a long-term career in strategic Marketing.




  • Manage daily calendar & schedule of the VP
  • Arrange travel and travel documentation for the VP
  • Assist in creating and organizing with PowerPoint presentations
  • Organize and maintain files and records
  • Receive and host department guests
  • Act as a liaison between multiple vendors and multiple departments both internally and externally
  • Prepare and support all team events closely
  • Organize and manage incoming and outgoing packages to vendors
  • Maintain and track the product closet inventory
  • Distribute and tracking new product launch samples


  • Schedule and set up department key meetings (internal and cross functional)
  • Identify and propose ways in which processes and meetings can be improved to minimize processing time, create consistency and avoid mistakes and delays, and work with partners to execute improvements
  • Support project work with the VP
  • Assist in updating and distributing the master file of upcoming product launches to Global Partners
  • Act as central liaison in the development of Marketing programs supporting franchise and product launches; collaborating with Internal teams to ensure seamless flow of communication (Campaign, Creative, Product Development, Storytelling, PR, Visual Merchandising and Store Design)
  • Assist in managing day to day needs and internal processes to execute approved plans
  • Assist in researching and analyzing market trends and competitors; including, but not limited to, competitive shopping, pulling competitive reports, and building PowerPoint presentations to share your findings





  • Bachelor's Degree in Marketing or a related field
  • One to two years of experience in Administrative Assistant or Project Coordinator position
  • Computer proficiency in Microsoft Office and Power Point program a must
  • Excellent verbal and written skills
  • Great attention to detail, meticulous and analytical with a "can do" attitude
  • Ability to prioritize and follow up on tasks efficiently and independently
  • Excellent organizational and time management skills
  • Strong interest in a long-term career in strategic Marketing
  • Passion for the beauty industry
  • Capacity to work autonomously as well as collaboratively in a team environment
  • High energy with ability to always go above and beyond the call of duty
