Bulgari Leather Goods and Accessories is currently looking for an Executive Assistant to support the Accessories Business Unit Managing Director in the management of administrative, operations and office tasks in cooperations with other involved departments to facilitate and smooth ongoing activities. The position is based in Florence and the person will be responsible of the following accountabilities:


  • Support the Managing Director by performing all secretarial, organizational and administrative tasks
  • Liaise with Bulgari and LVMH relevant departments to ensure a smooth flow of data and information
  • Ensure the coordination of all activities and the communication with other departments
  • Keep and manage diaries, with a high level of autonomy and priority setting, liaising with other departments to set routine and on-request meetings
  • Arrange meetings, creating agenda proposals, booking rooms and conference facilities and supervising all organizational aspects
  • Assist with preparation of presentation materials; prepare background documents; attend meetings in order to record minutes and finalizing draft documents;
  • Liaise with and provide assistance to department colleagues on specific special projects
  • Prioritize and manage multiple projects simultaneously, and follow through on issues in timely manner
  • Liaise with colleagues, LVMH and external agencies to organize business travels (finalize schedule, collect relevant support documents, choose and reserve flights, ensure hotel bookings), monitoring costs and compliance with the related budget
  • Manage travel requests and expense reports on the appropriate systems
  • Produce correspondence and documents, ensure distribution and keep file of incoming and outgoing documents, presentations and records
  • Deal and ensure proper feedback to telephone and email enquiries by handling incoming and outgoing e-mail communications on behalf of the executive
