Position

MISSION STATEMENT

The HR Assistant VIE is responsible for providing support to the Payroll & Reward Manager in the administration of C&B policies and programs that contribute to the attraction, retention and development of employees.
The main tasks are to ensure the effective implementation and recording of key administrative processes and policies within HR, respecting compliance requirements and UK Employment Law regulations.

 

MAIN RESPONSIBILITIES

ADMINISTRATION

Undertake the administration related to all HR processes, in particular:

  • Starters and Leavers
  • Manage HR systems
  • Ensure that employees' files are compliant with audit
  • Record and monitor staff absences

 Coordinate logistics of all internal HR Events.

 

COMPLIANCE

Ensure a clear Starters/Leavers process being compliant with the UK regulations in terms of employment.

Keep a record of all relevant information for internal use respecting the GDPR regulations.

 

COMPENSATION

Provide support to the Payroll & Reward Manager on coordinating the annual pay review process.

 

BENEFITS

Support the Payroll & Reward Manager on day to day communications/information to be sent to the Benefits Broker

Maintain up-to-date and control the benefits contracts and annual renewal (PMI-GLA- GIP...)

Update all benefits database: life insurance, income protection plan, pension, healthcare.

Update all benefits information in benefits' booklet and intranet.

Provide guidance to employees and new starts on benefits' administration.

Develop communications tools for the benefits in the intranet and other communications channels.

Support the Payroll & Reward Manager in the implementation and coordination of activities related to the Wellbeing Program (e.g. booking rooms, communicating to employees, payment to providers, etc.).  

 

BUDGET

Ensure and review regularly alignment of budget structure and real expenditure of HR accounts.

Manage HR invoices and follow up with 3rd parties.

Profile

Education:                  

Graduate

 

Professional experience & know how:

Familiar with Microsoft Office - Word, Excel

Payroll processes knowledge would be a plus
