Position

PRIMARY OBJECTIVE

The logistics coordinator will be acting as local logistics communicator and provides general office administrative support in our Thailand office. This role will support our Assistant Logistics Manager, South East Asia and will be reporting directly to our Finance Director, South East Asia who is based in Singapore.


Profile

JOB DUTIES & RESPONSIBILITIES

Retail Logistics

  • Coordinate with shipping companies and clearing agents to coordinate import and export documentation, green lights, direct to store deliveries
  • Support 3 retail stores by coordinating inventory deliveries from the warehouse and between the stores, including coordination of local driver
  • Maintain supporting documentation and costing of all shipments
  • Calculation of freight, duty, tax for each shipment
  • Prepare logistics report and confirm ASN voucher in inventory system with complete landed costs
  • Insert request for after sale spare parts into the system and coordinate with the stores for client repairs follow up
  • Coordinate insurance claims and policies
  • Archive and organize CITES certificates for exotic products
  • Coordinate non-merchandise (i.e. props, press samples, packaging, stationery) logistics cycle, procurement, import, export and storage
  • Provide support on logistics coordination for special initiatives or events, i.e. pop up stores, event, special event gift deliveries to customers

 

Finance and Retail Support

  • Generate report from inventory system on a regular basis (i.e. weekly and monthly)
  • Support internal control procedures for intra store transfer documentation, ensure alignment versus retail systems, end of life merchandise and inventory reallocation
  • Support external bi-yearly stock takes at stores and warehouse
  • Support internal monthly cycle counts at stores

 

Office Administration

  • Office procurement and petty cash coordination
  • Support accounting team in dealing with bank and suppliers, fixed asset records
  • General administrative work such as purchase of stamp duty, put company stamp on documents, sort out documents
  • Coordinate procurement and purchase order flows; VM props, press samples, stationery and office supplies
  • Any other ad hoc projects and duties as per assigned

KEY REQUIREMENTS & COMPETENCIES

  • Minimum 3 -5 years of related experience in logistic
  • Good knowledge of legal requirements and regulation of Retail and Importation operations
  • Diploma or Degree holder
  • Meticulous and detail oriented
  • Independent and self-disciplined, able to work with no supervision
  • Outgoing, dependable, and pro- active team player
  • Good organizing and follow up skills
  • Good interpersonal & communication skills
  • Proficient in SAP, Retail Pro (POS), MS office especially MS excel
