Responsabilità del ruolo
Roles & Responsibilities
• Executive Support:
o Manage the President's calendar, including scheduling and coordinating meetings, appointments, and travel arrangements.
o Prepare and organize meeting materials, presentations, and correspondence in both Japanese and English.
o Handle confidential information with discretion and maintain strict confidentiality.
• Communication & Liaison:
o Act as the primary point of contact for internal and external inquiries, managing correspondence and phone calls with professionalism.
o Draft and translate documents, and interpret conversations as needed, ensuring clear and effective communication.
o Coordinate and communicate with PAs of Executive Committee Members at Madrid and Paris HQ, Executive Secretaries within the LVMH Group, the Japan office team, external vendors, and travel agencies.
• Visitor & Event Management:
o Coordinate all aspects of visits from headquarters and international guests, including transportation, accommodation, and meeting logistics.
o Organize and coordinate company events, meetings, and special projects as required.
• Expense Management:
o Administer expenses, process orders, contracts, and requests for payments efficiently and accurately.
o Prepare and submit expense reports in compliance with company policies.
• Administrative Operations:
o Maintain organized and efficient filing systems, both electronic and physical.
o Manage office supplies and equipment, ensuring smooth office operations.
o Undertake special assignments and projects as directed by the President.
Profilo
• Experience:
o Minimum of 5 years of experience as an executive secretary or administrative assistant, preferably in a multinational corporation.
o Experience supporting senior executives.
• Skills:
o Language: Native-level Japanese and fluent English
o Communication: Excellent written and verbal communication skills in both Japanese and English.
o Interpersonal: Strong interpersonal skills and the ability to interact effectively with people at all levels.
o Organizational: Excellent organizational and time-management skills.
o Technical: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Personal Attributes:
o Proactive, detail-oriented, and able to work independently.
o Ability to maintain confidentiality and handle sensitive information.
