Senior Operations Associate- Color Stones & Pearls Logistics is responsible for all aspects of incoming and outgoing merchandise and ensures timely and accurate preparation of shipments as well as receipts from all Tiffany & Co. internal and external partners. This role will also support the responsibilities of physical and systematic receiving of gemstones and pearls and provide Inventory Control support for Gemstone Acquisition buying, grading and planning teams. This position may support additional projects and responsibilities deemed necessary to support departmental goals.

Key Accountabilities

Inbound & Outbound Shipments

  • Responsible for ensuring timely receipt of all incoming merchandise, supplies and equipment.

  • Verify and feel for each incoming shipment and breakdown packaging.

  • Verify and confirm contents of shipments from Laurelton grading labs in preparation of incoming transfer.

  • Distribute and/or deliver all packages to the appropriate individual(s)/ department(s) including cross functional teams within and outside the immediate department.

  • Responsible for the timely shipment of internal & external outbound shipments of merchandise, supplies and equipment.

  • Verify all shipping documentation is in accordance with Courier, International Customs and Tiffany & Co. policies and procedures.

  • Monitor In-transit report and coordinate with business partners to process aging receipt of shipments. Escalate to management when necessary.

  • Conduct monthly audits of all outbound shipments from all carriers. Identify and investigate discrepancies of delivery status including lost, delayed, and misdelivered shipments.

  • Manage and maintain all shipping supplies. As needed, coordinate for order placement through Coupa.

Record Maintenance:

  • Ensure incoming & outgoing paperwork complies with and includes the following statements where applicable:

    • Kimberley Statement & Synthetic Statement

    • Warranty Statement

    • VAT Tax Statement (Belgium)

  • Maintain all shipment inbound and outbound internal log sheets in accordance with Audit requirements & established TCO procedures.

  • Document all shipment records. Maintain records and the filing system in accordance with the Record Retention Policy. As requested, resolve and answer all inquiries or discrepancies regarding shipments.

Colored Stone & Pearl Processing:

  • Perform the detailed systematic receipt of diamonds using the J.D. Edwards system according to establish procedures.

  • Complete the systematic transfer of ownership from in-process to Tiffany owned merchandise

  • Return Rejected merchandise to supplier and disposition from JDE system.

Technology & Testing:

  • Prepare shipment of stones to Merchandise Testing Laboratory (MTL) in accordance with company policy. Ensure test results & all associated documentation is properly kept in accordance with record retention guidelines

  • Support processing for all qualifying stones into Grading Lab complete evaluation for standard proportions according to established procedures utilizing Sarine technology. Maintain the accuracy and integrity of Sarine output while controlling the upload of data into JDE.

General Operations:

  • Support continuous improvement initiatives through the identification of process improvements and communicate suggestions to management.

  • Review SOP documentation to ensure they are accurately updated to reflect ongoing process enhancements. Create work instructions as needed.

  • Lead training sessions with supporting members of the team.

  • As requested, assist with various projects and tasks associated with business initiatives.

  • Adhere to all Tiffany & Co. workplace policies and procedures. Ensure that all safety measures and guidelines are followed.

Required Qualifications

  • 2-5 years of experience in Operations, Logistics, Inventory Management or Supply Chain

  • Ability to prioritize while handling multiple tasks

  • Strong verbal and written English communication skills

  • Strong orientation to customer service and/or related work experience

  • Proficiency in Microsoft Office

  • Ability to translate goals into clear workable action plans

  • Self-motivated, proactive and solution oriented, willing to work overtime as needed

  • Experience handling sensitive and proprietary information, adherence to policies & procedures including but not limited to - safety, confidentiality, security

  • Must be flexible and willing to change responsibilities within the Department

Preferred Qualifications

  • Undergraduate College Degree

  • Experience with J.D. Edwards

  • Knowledge of Gemstone Industry

  • Experience handling stones (sorting, weighing and picking)

The hiring range for this position ranges from $25.25 - $29.70 per hour. The rate of pay offered will be dependent upon candidates' relevant skills and experience.
