Position
As an Events Specialist, your role is to lead the execution and development of Louis Vuitton's brand desirability through image-related events and client events across the 8 countries of the Benelux, Nordics, and Poland region. You will recommend exceptional events that respond to current business strategy, creating experiences that showcase the brand and celebrate its heritage and creativity. This role is responsible for the success of each event (commercially and image-wise) this involves organizing and developing all events and includes project and budget management, invitation processes, supplier coordination, catering, special services, and animations. You will review current event suppliers and identify strengths and new opportunities for the events business, synergizing experiences from press initiatives to client actions.
Job responsibilities
Events Planning and Strategy
- Building and implementing the event strategy for the Benelux and Nordics region, in line with the zone and central guidance, partnering with Client Development, Communication, Merchandising and Retail teams, to drive ROI, desirability, and client loyalty in the region.
- Ensuring the realization of each event is aligned with the desire to vehicle an image of elevation and sophistication while adopting an innovative and creative approach to events formats and development.
- Leading the annual events calendar, trackers, and action plans, ensuring all events align with Louis Vuitton's standards and partnering with store managers to build events and animation calendars, developing local clientele opportunities
- Engaging in daily communication with retail store teams for event conception and delivery, supporting in-store animations, and ensuring the smooth execution of in-store events.
- Managing relationships with internal teams (Client Development, Communication, Merchandising, Supply Chain and Retail) and external suppliers (e.g., printing, caterer, production) to ensure tasks are executed to the required standards and materials are ordered effectively.
- Tracking and evaluating expenses, ensuring effective cost management, raising purchase orders, and confirming all event costs are accounted for within the required budget.
- Researching new and upcoming spaces and opportunities within the region for external events.
- Aligning with zone and central teams to ensure events are in line with the global company strategy.
Monitor & Analyze Event Results
- Analyzing event results according to relevant KPIs (attendance, sales, ROI, etc.).
- Managing and monitoring event response rates to share insights with the Client Development Director and support the corresponding team to achieve attendance targets.
- Compiling comprehensive feedback reports and providing in-depth analysis of event results, including attendance and ROI, and continuously updating event action plans, trackers, and feedback reports for the EMEA office and senior management.
- Following up on costs and managing event budgets for the region, including raising purchase orders and tracking spending.
Internal Communication/Team Management
- Maintaining close coordination and good working relationships across Client Development, Communication, Merchandising, Visual Merchandising, Supply Chain and Store Teams.
- Adopting a 360° approach to ensure adoption and support of all internal departments (Regional, Zone, stores).
- Communicating effectively with a diverse range of luxury brands
- Collaborating with fellow Events team members in the EMEA zone to share best practices and learn brand standards.
- Leading installations and managing install teams for key/large events.
- Representing the Maison during events in alignments with its DNA and values.
Defining Success
- Well-executed and planned events which are well-attended and drive sales.
- Effective communication from Zone and Steer Co approvals to in-store briefings, with projects delivered on time.
- Fostering great team spirit and positive relationships across the business, resulting in excellent colleague and client feedback, including developing strong working relationships with high-profile clients such as influencers
Profile
- Key requirements:
- A relevant academic qualification, such as a Bachelor's Degree in Fashion Communication and/or Luxury Branding, providing a strong theoretical foundation and understanding of brand strategy pertinent to a luxury fashion house.
- Fluency in English is mandatory for this role, as your main contacts and stakeholders are located in our 8 countries in the region (Belgium, Netherlands, Luxembourg, Finland, Danmark, Norway, Sweden, and Poland)
- Excellent level of proficiency in key software, particularly PowerPoint and Excel, for presentations, data analysis, budget tracking, and reporting.
- Previous experience in retail in visual merchandising, or in content creation or project management would be beneficial
- Extensive and proven Event experience:
- Demonstrated ability to manage and implement annual event calendars, action plans, and trackers, ensuring alignment with brand standards.
- Practical experience in planning and executing diverse events (in-store, external, client-focused), showcasing operational excellence and a 360° mindset.
- A track record of effective relationship management with internal teams (retail, client development, merchandising) and external suppliers (printing, caterers, production).
- Proficiency in managing event logistics, including leading installations and coordinating teams for successful event delivery.
- Strong analytical and budget management skills:
- Ability to track, monitor, and analyze event response rates and results against key performance indicators (KPIs) such as attendance, sales, and Return on Investment (ROI).
- Experience in compiling detailed feedback reports and contributing to in-depth analysis for continuous improvement, resulting in the proposal of key actions towards improvement
- Proven capability in comprehensive budget management, including raising purchase orders, tracking expenditures, and ensuring all costs are accounted for within allocated budgets.
- Exceptional Communication and Relationship-Building Capabilities:
- High-level effective communication skills, adept at daily interaction with various stakeholders, including retail store teams, other brands (e.g., Christian Dior, Fendi, Hermes), and internal departments.
- Demonstrated ability to foster strong working relationships, including with high-profile clients and influencers, contributing to positive colleague and client feedback.
- Skilled in coordinating and collaborating with diverse teams to drive event initiatives efficiently.
