Position Overview:

We are seeking a highly organized, detail-oriented Coordinator to support In-Store Production, New Development & Custom in the execution of new display development, custom fixture programs, and production initiatives.

This role is highly operational and execution-focused, ensuring projects move forward on schedule, documentation is accurate, vendors are aligned, and communication flows seamlessly across teams. The ideal candidate thrives in a fast-paced, cross-functional retail environment and brings strong follow-through and production knowledge.

Key Accountabilities:

New Development Support

  • Maintain and update detailed project trackers, timelines, and milestone calendars across all active development initiatives.
  • Coordinate meeting logistics for Design & Production meetings, prepare agendas, capture notes, and track action items through completion.
  • Support vendor communication by tracking deliverables, confirming timelines, and flagging risks or delays to the Manager.
  • Organize and maintain development files, technical drawings, prototype records, and approval documentation in partnership with Design.
  • Track prototype iterations, sample shipments, testing results, and approval status.
  • Assist in monitoring the prototyping budget, collecting cost estimates and logging expenditures.
  • Prepare recap summaries and status reports for internal stakeholders.
  • Support real-world prototype testing logistics, including shipping, store coordination, and documentation of results.

Custom Displays & Production Coordination

  • Track custom fixture requests and ensure all required briefs, specifications, and scaling guidelines are complete before development begins.
  • Coordinate production timelines with vendors once direction has been set by the Manager.
  • Support installation planning by organizing documentation, installation directives, and communication materials.
  • Assist in scheduling and logistics for on-site installations where needed.
  • Maintain updated records of fixture specifications, usage trends, and recurring sizing standards.

Cross-Functional & Stakeholder Support

  • Partner with Styling and Market Operations teams to ensure quantities, timelines, and rollout documentation are accurate and aligned.
  • Consolidate cross-team feedback and ensure updates are reflected in production documentation.
  • Prepare materials for vendor onboarding or RFP processes as directed.
  • Track sustainability-related vendor information and material certifications.

Operational Excellence

  • Develop and maintain organized digital systems for file management, version control, and shared documentation.
  • Create standardized templates for timelines, briefs, and reporting where needed.
  • Monitor deadlines and proactively escalate risks to the Manager.
  • Support continuous improvement initiatives by identifying workflow inefficiencies.

Qualifications:

  • 2–4 years experience in retail production, visual merchandising production, fixture development, or related operations.
  • Strong organizational and project coordination skills.
  • Experience working with vendors and production timelines.
  • Ability to read and understand millwork drawings.
  • Working knowledge of 3D CAD tools (Rhino, Keyshot, and/or Vectorworks) preferred.
  • Proficiency in Adobe Creative Suite.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple projects simultaneously with strong attention to detail.

 The target hourly rate for this position is $45 per hour.
