Position

We're looking for a Client Relations & Experience coordinator to support the development, implementation and management of a major event. He / She will project manage the co-ordination of all aspects of assets production process, specifically in the areas of creative concepts, sourcing, logistics, and F&B coordination.

The role will be a 3 months contract role, commencing in July 2026. 

Job responsibilities

  • Assist in developing and implementing the major event, specifically in assets production, brand experiences, vendor management and operational duties required for the event
  • Identify, evaluate and supervise the appointed vendors (ranging from assets to F&B) to ensure the services are delivered in accordance to their agreed upon scope, roles and responsibilities, and monitor the work progress of all parties to ensure deadlines are met
  • Work on requests for quotation, ensure asset samples received are consistent with global brand guidelines; actively involved in process of negotiation and vendor selection
  • Ensure Finance supplier database is updated, raise Purchase Orders (POs) following internal protocols, and update event budget file on a regular basis
  • Provide on-site support for Welcome Dinner and Appointments; coordinate with relevant stakeholders to ensure smooth operations and client experience
  • Attend site visits and food tastings (when necessary)
  • Manage and update inventory database on a regular basis

Profile

 

  • 2-3 years of experience in luxury industry or events management or related fields
  • Creative, detail oriented and has a keen eye for aesthetics
  • Ability to grasp concepts and new ways of doing things quickly
  • Strong communication and organizational skills
  • Team player with ability to take direction and to work independently
  • Highly motivated and able to work in a fast-paced environment
  • Ability to deliver quality work under tight working timeline and to manage vendors effectively
