Position
Support the Human Resources Manager with the HR administrative and advisory services relating to recruitment, engagement, onboarding, offboarding, payroll, employee records management and WHS.
Job responsibilities
Payroll & Reporting
• Prepare the monthly and fortnightly payroll to review with the HR Manager.
• Ensure that the company remains compliant under the General Retail Award 2010 and that any changes are implemented per the scheduled dates.
• Prepare and coordinate superannuation monthly payments
• Declare monthly payroll tax
• Manage payroll system administration with updates.
• Manage end of financial year requirements.
• Manage and update leave balances
• Prepare reports
Recruitment
• Publish and manage recruitment platforms i.e. LinkedIn, Seek, Talent Connect
• Ensure hiring request forms are put up for approval prior to hiring
• Create a talent pipeline for future talent
• Screening and scheduling of interviewing, manage communications with all candidates
• Partner with department/store manager for HC replacements
On boarding / Off Boarding
• Prepare digital employment contracts to all new hires.
• Prepare on boarding schedules for all new employees in coordination with the Manager, with regular follow-up/touch base.
• Create and maintain HR personnel records
• Coordinate the new employees IT, welcome gift, induction program
• Conduct exit interview with departing employee
• Prepare acknowledgement of post-employment obligations for departing employee to complete
• Notify relevant departments of departing employee
Administration
• System Administrator for the time and attendance system.
• Assist with the management of probationary periods
• Coordinate culture/team building events in liaison with the HR Manager (CSR, annual, bi-annual dinners, milestones, wellbeing activities etc.)
• Support the HR Manager on the annual salary reviews, OMR and PCR.
• Update Employee Handbook, Policies and Procedures to ensure information is up to date and following local regulations.
• Assist in special projects and ad hoc tasks to support the business and its teams
Work Health & Safety
• Ensure that the business remains WHS compliant.
• Provide all employees with WHS induction training and/or annual refresher training.
• Lead WHS Committee with quarterly meetings and follow up on action plans
• Report, assist and manage end to end workplace near misses and reportable incidents, rectify hazards, partnering with the team member and manager on appropriate return to work plans.
• Comply with WHS policies, procedures and programs implemented by Bulgari.
• Work in a manner that is safe and does not create risks to yourself or others.
• Participate in consultative arrangements.
• Comply with the duty to not endanger others by their acts or omissions
Profile
Essential
• Experience within the HR field (administration and advising)
• An uncompromising standard of professionalism, integrity and confidentiality
• Excellent written, verbal, presentation and interpersonal skills
• Intermediate to advanced computer skills (MS Excel, Word, Power Point)
• Adaptable to changing work environments/priorities
• Ability to work autonomously or as part of a team
• A proactive approach to fulfilling key functions in order of priority and efficiency
• Ability to deal with ambiguity and work to resolving issues of complexity
• High attention to detail
