Position

We are looking for a Visual Merchandising (VM) Operations Coordinator who will contribute to the company's success through providing administrative, operational and accounting management support for the VM team in the South Asia region.

Job responsibilities

Operations Support

  • Collaborate with HQ operation team, Regional/Local VM teams to coordinate all VM material purchasing for window, lightbox visuals, in-store display, store openings and VM projects.
  • Co-work with HQ coordination team and Regional/Local VM teams to consolidate and build VM project data.
  • Monitoring seasonal window props order, transportation from the vendor origin and local production material status on a regular basis.
  • Work closely with logistic team & Local VM teams to manage lead time of logistics and custom clearance for all VM related materials from overseas.
  • Review the props inventory status in each market to control recycling items, storage cost by volume, and sustainability management.

Accounting Support

  • Consolidate monthly expense reports from Local VM teams: in multi currencies, breakdown by categories following HQ guideline and monthly submission and reporting to HQ operation team.
  • Support VM budget management (Window, Lightbox, Props, Transport, Store Openings, VM projects) through liaison with Regional/Local VM teams, Finance and Accounting team.
  • Communicate with Regional/Local VM teams to control purchasing enquiry vs. allocated budget in each market.
  • Partner with HQ/Regional/Local VM teams to ensure all operations and accounting control are well managed and controlled timely and in line with HQ guideline.

Procurement Support

  • Build up comprehensive data base for VM activities including props track record, window, lightbox, photos, costs, bidding record etc.
  • Co-work with Regional/Local VM teams regarding procurement procedure (PO, invoice & bidding) for window, lightbox, VM projects in line with company internal control policy.
  • Collect vendor evaluation and feedback from each market.
  • Collaborate with HQ/Regional/Local teams to manage the sustainability projects.

Profile

  • Minimum 5 years working experience in Accounting, Operation, and/or Admin sectors in a multinational company
  • Able to work independently but also collaboratively with cross functional teams
  • Attention to detail with good analytical skills
  • Self-starter and with a positive attitude
  • Responsible and trustworthy
  • Good interpersonal and communication skills
  • Excellent command in written and spoken English
  • Proficient in Microsoft Excel and PowerPoint
