Chaumet is seeking a highly motivated, detail-oriented, and passionate Supply and Logistics Administrator to join our Middle East regional office. Reporting directly to the Head of Supply and Logistics - Middle East, this pivotal role is instrumental in ensuring the seamless, efficient, and cost-effective flow of goods throughout our supply chain. 

The successful candidate will play a critical role in supporting supply and logistics operations through meticulous data management, proactive customs coordination, and insightful reporting, ultimately contributing to the overall success of Chaumet in the region. 
 

Job responsibilities

Data Management & System Operations: 

  • Perform accurate and timely data entry for all logistics-related activities, including shipments, inventory movements, and vendor information, ensuring data integrity across all platforms. 
  • Execute precise system work for inventory and stock movement, tracking, and reconciliation, utilizing relevant logistics and ERP software. 
  • Maintain up-to-date records in inventory and logistics systems, ensuring compliance with internal policies and external regulations. 
  • Lead packaging forecasting and replenishment processes, optimizing inventory, and minimizing stockouts. 

 

Customs & Shipment Coordination: 

  • Act as the primary point of contact for customs follow-up and coordination for all inbound and outbound shipments, ensuring timely clearance and adherence to all regulatory requirements. 
  • Prepare and manage all necessary documentation for customs declarations, import/export permits, and other shipping requirements. 
  • Liaise effectively with customs brokers, freight forwarders, and other third-party logistics providers to resolve any issues and optimize shipment processes. 


Reporting & Data Analysis: 

  • Develop, maintain, and continuously improve comprehensive logistics reports and dashboards to monitor key performance indicators (KPIs) such as delivery times, costs, and inventory accuracy. 
  • Demonstrate strong proficiency in Microsoft Excel, utilizing advanced functions, pivot tables, and ideally Macros, to analyze complex logistics data and extract actionable insights. 
  • Present clear and concise reports to the Head of Supply and Logistics, Middle East, highlighting trends, anomalies, and recommendations for process improvements.
     

Administrative & Operational Support: 

  • Provide essential administrative support to the Distribution Planner and Logistics Specialist, assisting with various tasks to ensure smooth daily operations. 
  • Coordinates and follows up on the supply of critical items. 
  • Support the planning and execution of seasonal and campaign logistics, ensuring timely and efficient delivery of products. 
  • Contribute to identifying opportunities for streamlining logistics and supply chain processes to enhance efficiency and reduce operational costs. 

Profile

  • Bachelor’s degree in supply chain management, Logistics, Industrial Engineering, Business Administration, Finance, or a related field. 
  • 2-3 years of progressive experience in logistics administration, coordination, or a related supply chain role, preferably within a luxury retail or similar industry. 
  • Strong proficiency in Microsoft Excel, including advanced functions, pivot tables, and ideally demonstrated experience with Macros for automation and reporting. 
  • Excellent data entry skills with a strong emphasis on accuracy and attention to detail. 
  • Solid understanding of customs procedures, import/export regulations, and international shipping documentation. 
  • Familiarity with inventory management principles and logistics software/ERP systems. 
  • Exceptional communication, interpersonal, and organizational skills, with the ability to collaborate effectively with diverse stakeholders. 
  • Ability to work independently, prioritize tasks, and manage time effectively to meet deadlines. 
  • Excellent communication and interpersonal skills. 
  • Knowledge of relevant regulations and industry standards. 
  • Ability to work independently and as part of a team in a fast-paced environment.
