Provide dedicated, high-level Personal Assistant support to the General Manager, acting as a trusted partner to ensure the seamless management of both professional and personal priorities.
The role demands a highly analytical approach and the ability to navigate a fast-paced environment with composure and grace, especially when managing urgent requests or providing flexible support for key brand events. By ensuring operational excellence and precise coordination, this position serves as a vital contributor to the General Manager’s office and FRED Japan’s overall success.

Job responsibilities
Main Responsibilities
Personal & Executive Support for General Manager:
- Executive Partnership: Provide comprehensive Personal Assistant support, managing schedules, travel arrangements, and various professional/personal tasks with the utmost discretion.
- Urgent Request Management: Respond to high-priority and urgent tasks with composure and efficiency, ensuring the GM can focus on strategic priorities.
- Communication & Translation: Serve as a fluent English liaison. Coordinate with HQ and provide Japanese/English translation/interpretation for international visitors.
- Event Support: Support the execution of brand events, including the flexibility to work late hours when required to ensure a seamless guest experience.
- Analytical Tasks: Leverage a strong analytical mindset to manage data and create high-quality reports/presentations using Excel, Word, and PowerPoint.
- Office Administration: Manage POs, invoices, and contracts in compliance with LVMH group regulations.
- Cross-Functional Liaison: Facilitate smooth communication between internal departments (Finance, IT, Legal) and the management team.
Profile
Requirements
- Experience: Proven experience as a Personal Assistant or Executive Assistant, preferably within the luxury industry.
- Character: Extremely trustworthy and discreet with the ability to handle confidential information.
- Skills: Fluent in English (verbal and written) and Japanese.
- Strong proficiency in Microsoft Office (Excel, Word, and PowerPoint) with an analytical approach.
- Excellent multitasking abilities and the capacity to stay calm under pressure.
- Flexibility: Willingness to work late when necessary for events (No weekend work required). Travel is limited but expected for visitor support.
- Education: A university degree or equivalent work experience.
