As HR Operations and Controlling Manager you will be responsible for managing and coordinating the payroll process in Southern Europe while overseeing the payroll process for Northern Europe. You will ensure that headcount and payroll costs are managed in line with the budget, investigating any variances, and performing payroll bridge and budget cost simulations.
You will also be in charge of maintaining the HR Information System (HRIS) to ensure accurate reporting and completes various HR operational tasks, including providing accurate information into contract generation and amendments.
Strong numerical ability and HR cost controlling skills are essential for this role.
Job responsibilities
Your role will be:
Budget and Cost Control:
- Monitor and manage headcount and payroll costs in line with the budget, ensuring financial targets are met.
- Investigate and report on variances from the budget to the EMEA HR Director, providing actionable insights.
- Liaise and partner with the financial controlling team in managing HR costs.
- Perform payroll bridge simulations to analyze changes from the budget plan to revision plans.
- Conduct payroll budget cost simulations and analyze variances, identifying cost-saving opportunities.
- Provide detailed analysis and insights on payroll costs and trends to support strategic financial planning and decision-making.
- Consolidate the EMEA budget and provide insights to the EMEA HR Director for strategic decision making.
HR Information System (HRIS) Management:
- Ensure the HRIS is up to date to maintain accurate reporting, processing new hires, leavers, changes, and ensuring hierarchical structures are correct.
- Collaborate with the central HR Ops team and other departments to enhance HRIS functionalities and improve data accuracy.
- Implement and maintain best practices for HRIS management and data integrity.
HR Operations:
- Complete general HR operations tasks, including contract generation, contract changes, employee records management, and employee onboarding administration.
- Maintain and archive employee online folders, ensuring compliance with data protection regulations.
- Manage employee queries on entitlements, leave, or contractual issues, providing timely and accurate information.
- Support the EMEA HR Director and team in various HR initiatives and projects, contributing to the development and implementation of HR strategies.
Reporting and Analysis:
- Prepare and present comprehensive payroll and HR operations reports to senior management, highlighting key metrics and trends.
- Provide insights and recommendations based on data analysis to improve HR processes and cost management.
- Develop and implement reporting tools and dashboards to enhance data visibility and decision-making.
Payroll:
- Oversee payroll processes for Europe providing support and guidance as needed.
- Review and feedback changes needed for the Southern Europe monthly payroll to the external payroll partner, ensuring accuracy and compliance.
- Consolidate overall payroll information, when required.
- Provide advanced support in the investigation of queries related to variable pay, bonuses, and commissions.
- Embed processes to ensure payroll is accurate, timely, and compliant with local regulations.
Continuous Improvement:
- Identify opportunities for process improvements in payroll and HR operations, implementing best practices to enhance efficiency and effectiveness.
- Lead and participate in projects aimed at optimizing HR operations and payroll processes, ensuring alignment with organizational goals.
- Stay updated on industry trends and regulatory changes, ensuring the organization remains compliant and adopts innovative practices.
Profile
What is important for the role:
- Bachelor’s degree in human resources, Finance, Business Administration, or a related field.
- Minimum of 5 years of experience in HR operations and cost controlling, knowledge of payroll across multiple regions, preferably in a multinational company.
- Understanding of human resources principles and practices.
- Ability to handle employee queries professionally and efficiently, both in writing and verbally.
- Strong numerical and analytical skills, with the ability to perform complex financial analyses.
- Proficiency in HR Information Systems (HRIS) and payroll software.
- Advanced knowledge of Microsoft Excel and other data analysis tools.
- Understanding of financial principles, reporting and budgeting related to HR cost controlling, budgeting, and variance analysis.
- High level of integrity and confidentiality in handling sensitive payroll and employee information.
- Proactive and results-oriented, with the ability o make data driven decisions with a continuous improvement mindset.
- Ability to adapt to changing priorities and work effectively in a fast-paced environment.
- Excellent organizational and time management skills, with the ability to manage multiple tasks and meet deadlines.
- Strong attention to detail and accuracy.
- Effective communication and interpersonal skills, with the ability to collaborate with cross-functional teams.
- Ability to work independently and as part of a team.
- Fluency in English is required.
