Position

The Event Coordinator is responsible for planning and coordinating all events and initiatives in the region to increase brand awareness, to launch new products and projects, as well as to smoothen relationship with clients and VICs with hospitality. The job also requires supporting PR functions, such as sample calendar and traffic, influencer gifting, and reporting HQ counterparts.

Job responsibilities

Events • Manage regional events calendar and budget • Support the stores in developing new initiatives and create recommendations towards such initiatives • Research and assist with design elements for event concepts, invitations, venues and décor. • Prepare all aspects of the initiative: - Fill initiative sheet for each action in collaboration with Retail/VIC teams - Prepare list of invites with store and coordinate with vendors for printing and mailing • Coordinate catering, champagne, flowers etc. - Help in visually preparing the store before the event - Assist in the event whenever appropriate - Ensure that actions feedback report is filled and available for all stores - Support handling samples/products in collaboration with MD/VMD teams • Track and report the success of events on a per store basis, throughout the region • Partner with Retail/VIC teams to manage private client relations initiatives such as coordinating exceptional experiences for clients • Track client nominations for exceptional experiences in collaboration with Retail/VIC teams • Manage images/movies for reporting and draft event report for local team and HQ PR Coordination • Work closely with PR team to support daily needs such as managing sample calendar and traffic • Assist the maintenance of press showroom to welcome journalists and stylists • Support the process of influencer seeding, arranging wrapping materials and gift cards • Draft clipping and seeding report for local team and HQ

Profile

• BA Degree required • 2+ years experience in events • Excellent interpersonal skills • Native level of Japanese (both verbal and written) is a MUST • Business level of English • Detail-oriented and organized • Proficiency with computers (Word, Excel, Powerpoint, Internet, Notes, etc.) • Able to prioritize on-going multiple projects and meet short deadlines • Ability to make decisions without close supervision • Ability to ask questions and to report to closely align with the teams • Efficient and capable of handling detailed work assignments
