We are seeking a dedicated individual to provide comprehensive sales and administrative support to our Oceania Team. In this dynamic role, you will streamline ordering processes through meticulous preparation and tracking, leverage data analysis to inform key decisions, and ensure robust financial operations by managing SAP Purchase Orders and facilitating prompt invoice payments. You will also be a central point for administrative support, efficiently handling consolidations and various cross-departmental requests. 

Job responsibilities

SALES

  • Conduct in-depth analysis of sales data utilising internal platforms
  • Generate comprehensive weekly, monthly reporting and analysis for budget purposes
  • Support analysis for Retailer and Key Stakeholder Business Reviews
  • Prepare and track stock order requirements based on market needs, order on hand vs budget
  • Coordinate Point of Sale Materials (POSM) and Uniforms, ensuring adherence to brand guidelines and budget
  • Coordinate incentive orders in alignment with approved budgets
  • Track and monitor forecast consumption, including sell-in, sell-out, and stock-on-hand (SOH) data
  • Serve as a key point of contact for retailers, strengthening partnerships through excellent customer service, order tracking, and invoice management
  • Assist the Sales team with operational requests
  • Contribute to the creation of Marketing, Gift With Purchase (GWP), and Sample Plans for all Oceania Markets (new launches/promotions)
  • Support all E-retail platform updates and assist in the creation of new E-Retail platforms as needed
  • Update new line forms by retailer
  • Ensure accurate and up-to-date range updates, including product catalogue maintenance, pricing updates, product delivery dates, discontinuation communications, and novelty stock reviews in collaboration with the E-business team
  • Provide support in the preparation of sales forecasts

ADMINISTRATION

  • Update all sales reports weekly, ensuring high levels of data accuracy
  • Maintain and update AX files for the warehouse
  • Create Purchase Orders in EFU and SAP, adhering to established PO processes
  • Ensure invoicing aligns with Purchase Orders and allocated budgets
  • Generate and process credit notes for retailers
  • Prepare orders, manage mailings, and organise stock
  • Assist with post-campaign/event reports
  • Provide ad-hoc support to the Marketing team with presentations and various tasks from the Senior Brand & Marketing Manager, as well as ad-hoc sales and visual merchandising assistance from the Senior Retail Manager & VM Manager
  • Assist with event coordination, including Regional Seminars and travel itineraries
  • Perform various ad-hoc administrative tasks as required

Profile

  • Minimum 2 years of experience in a similar role
  • Excellent communication skills
  • Highly organised self-starter capabilities
  • Works well under pressure and to deadlines
  • Strong analytical skills
  • E-retail savvy
  • Up to date with Beauty industry trends 
  • Flexible personality to take on new challenges as they come
  • Must have Excel knowledge, be able to analyse sales, and work on PowerPoint presentations
  • Cosmetic industry experience is not critical, but would be highly regarded
