The Executive Assistant, Office of CEO PMO will proactively provide comprehensive executive, administrative, and strategic project management support to the CEO of MH North America. This role is crucial in optimizing executive effectiveness, ensuring seamless operational flow, and spearheading key initiatives.  This position will be instrumental in translating strategic vision into actionable plans, ensuring efficient execution of key initiatives, and establishing robust project management frameworks. 

 

Office/Location: Based out of NYC Office 

Job responsibilities

Administrative Support:

  • Manage CEO’s workflow & high-volume calendar scheduling and coordination.
  • Provide inbox management, draft responses, flag priorities, and keen communication flowing.
  • Provide appropriate administrative and clerical support.
  • Book and manage detailed travel arrangements, itineraries (flights, hotels, schedules).
  • Provide phone support and handle inquiries.
  • Prepare T&E reports for processing, as appropriate.
  • Prepare presentations, prioritize meeting materials, and provide meeting notes.
  • Handle sensitive company and personal information.

Stakeholder Relationships & Cross-functional Communication:

  • Support CEO through prompt and proactive communication and follow-up with executive level stakeholders

Profile

  • Serve as a central point of contact for various strategic initiatives, ensuring alignment and communication across departments.
  • Be a "point-person” and reply to ad-hoc requests and questions Proactively share information, on an on-going basis, regarding all aspects of brand/company performance
  • Partner with leadership to develop and implement strategic initiatives, ensuring alignment with organizational goals.
  • Facilitate effective communication between executives and staff, and across departments, ensuring clarity and consistency of messaging.
  • Handle ambiguous, high priority work and project.

Business Performance:

  • Monitor and understand MHUSA business activities across the Organization and with our distributors, Maisons and partners

Chief of Staff/PMO Responsibilities:

  • Act a PMO for leadership team by managing leadership team meeting agendas, providing meeting notes, tracking action items and deliverables, and ensuring
  • Plan and manage leadership team offsites.
  • Oversee and coordinate special projects as designated by the CEO, providing project management support from initiation to completion.
  • Serve as a central point of contact for various strategic initiatives, ensuring alignment and communication across departments.
  • Set agendas, identify goals, and ensure follow ups happen.

Additional information

Project Management & Coordination:

  • Organize meetings and events for CEO as needed.
  • Provide support for key Company communications moments (town halls, etc.)
  • Assist CEO in special projects and coordination as necessary.
  • Proactively participate as a project team member as necessary.
  • Additional ownership of projects based on specific requirements of President & CEO.

Systems/Technical Support:

  • Effectively use all MS Office and proprietary systems tools to support Executive and manage workload including AI (Copilot, ChatGPT, etc.) presentation and spreadsheet development, correspondence and other written documents.
